Individuals
Register a person, find them again, and read everything recorded about them on one page.
An Individual is one person your organisation works with. Individuals sit at the centre of the register: they are who attends an activity, who answers a form, and who your reported numbers count.
The register
The Individuals page lists everyone registered, twenty five at a time, sorted alphabetically. The columns are Name, Gender, Age, Nationality, Population Group, Lynks, Governorate, ID Number, Status and Registered.
Registering someone
Choose "Register New Individual". The form is grouped into sections you can work down in order.
- Full Name. First, middle and last name. First and last name are always required. A preview line shows you the assembled name as you type.
- Demographics. Gender, date of birth, nationality, population group, education, marital status, employment, occupation and country of origin. Ticking "Has a disability" reveals a box for the type.
- Identification. ID type and ID number.
- Contact. Phone, alternate phone, email and how the person prefers to be contacted.
- Location. Your three geography levels, chosen one after the other, plus a free text address.
- Household Lynk and Establishment Lynk. Connect the person to a household and to an establishment, each with a role.
- Status and Consent. Status, registration date, photograph, the consent tick and its date, and any notes.
Deciding which fields are required
Which fields your staff must fill in is yours to decide. Open Settings, then Registration Form Fields. Each field has a Visible tick and a Required tick.
- A field you hide cannot also be required, and unticking Visible unticks Required with it.
- First name and last name are always required and are not on this screen, because the person’s full name is built from them.
- The rule is enforced when the record is saved, not only in the browser, so it holds however the record arrives.
Finding a person again
The search box above the register matches on name in any of your active languages, on phone number, on ID number and on governorate, so you can look someone up by whatever detail you happen to have. Alongside it are filters for status and gender.
The individual page
Opening a person shows one page rather than a set of tabs, so everything is visible by scrolling.
- A header with the photograph, the name, the record number and the status.
- Counts of activities attended and forms submitted, and the household if there is one.
- An Activity feed, in date order, drawn from attendance, form responses and lynks.
- A Lynks card listing every household and establishment connection with its role.
- Identity and Contact cards holding everything entered on the form.
- Participation and Forms tables, listing the activities the person took part in and the forms they answered.
The menu at the top right offers "Export this person’s data", which produces a portable copy of everything recorded about them. It is there for answering a data access request, and it is available only to people whose role allows downloads.
